RAPID ORDER BOOKING

This is a specialised program that overlays Works-Instruction-Writing, and is particularly intended for those companies that receive large volumes of small orders in a very short space of time to meet on-demand delivery. It is at its most useful when Finished Goods Stock files have to be simultaneously interrogated. Large volumes of orders are swiftly filtered for what is possible and what is not.

Function

Orders may be rapidly entered by secretarial staff, keying in the main details. Most information will default automatically into the question fields from Customers Records, Job History Card and the Finished Goods Stock.

The jobs are listed on a viewing screen as either held or cleared orders. A held order indicates that ‘mandatory’ information is missing. A cleared order and the job may be put in hand immediately.

Production staff have a permanent up-to-date picture of incoming orders plus all relevant information (e.g. Stock position, delivery date, pms colours etc.) from which they can make their decisions. This process is designed to make it particularly easy to gang jobs together.

Integration

Rapid Order Booking integrates with Customer Records, Job Record Card, Film Log, Finished Goods Stock Control, Customer Price Lists and the credit position when linked to the accounts.

Features

Input Questions

  • The input questions are user defined and are linked by Imprint’s standard integration numbers to the rest of the system.
  • The program is always best used in conjunction with the Job-Record-Card.
  • Production data is pulled through automatically from all integrated files.
  • Customer Code will supply addresses, telephone numbers, delivery points, standing instruction, credit position (if accounts are linked), etc.
  • Job Record Card will supply the Finished Stock Code and necessary technical information (e.g. the colours, the current estimate number, the previous job number, etc.).
  • Finished Goods Stock position will be shown on screen (actual stock, free stock and in production).
  • Questions flagged as ‘Essential’ must be answered (e.g. Customer, Order number, etc.).
  • Questions flagged as ‘Mandatory’ (e.g. Quantity? or Film available Y/N.) must be answered correctly. Questions incorrectly answered will show as held orders on the view screen. When correctly answered view screen lines turn to cleared orders. Only the cleared items can be processed by the automatic Works Instruction.
  • At all times you will know the date and time of day an order was booked.

Order View Screen

  • The column headings, their sequence and their width are user defined.
  • Many hundreds of jobs may be booked to a viewing screen.
  • They are easily sorted and batched together (e.g. by delivery date, by colours, etc.).
  • Cleared orders can be turned into production orders via automatic Works Instruction writing.
  • Held orders will clear when critical fields are edited and completed correctly.
  • Items are removed from the view screen when the Works Instruction has been successfully raised.
