Finished Goods Stock Control

Primary function of this program is to manage all printed stock and consignment stock held either on behalf of customers or for direct re-sale. This program is so closely integrated with all Works Instructions, Delivery Notes and Invoicing that it provides a fast, seamless Stock movement system greatly reducing the opportunity for human error. All the features of Raw Materials Stock also apply to this program; first-in-first-out full audit trail; batch control and traceability; the Imprint sort-filter-find engine and full integration with Report and Document Generators. Integrated Functions

Job Record Card

  • This may be set to create a Finished Stock file automatically with the opening of the Record Card.

Works Instruction Writing

  • A new job can automatically open a Finished Stock file if you enter a Finished Stock code.
  • If the code entered is an existing finished stock file then current stock position is automatically shown.
  • A new job automatically logs the fact of production to the stock file with its quantity and expected delivery date. A quantity may be simultaneously allocated for immediate delivery from stock.
  • Amendments to the Works Instructions automatically amend the Finished Stock details.

Delivery Notes & Labels

  • 'Transfer into Stock' and 'Deliver from Stock' are two options on the Despatch Managers' screen.
  • Enter the job number and the full stock position is displayed to the Despatch Manager including all previous transfers, deliveries and current stock balance. The stock code is held on the Works Instruction Ticket, it cannot be over-written and no errors can be made to the wrong stock file.
  • Each transfer to stock has its own unique batch number and the production amount still in progress decreases automatically.
  • Serial numbered products are also closely managed within each batch. You will know which serial numbers have been delivered from stock and which remain. Ideal for Stationery manufacturers.
  • Deliveries from stock will be booked to a special Picking Note number or to the main job number.

Costing System

  • An audit trail of all transfers and deliveries is held on the Job Cost and the Picking Note Sheets and may be viewed, and reported on, at any time, from within the archives.

Invoicing

  • When items are transferred to stock they carry a stock valuation. If they are then invoiced, or part invoiced, the stock value is amended automatically; the customer now owning the stock.

Operating Features

Finished Stock has all the features of Raw Material Stock plus a number of specialised ones.

  • A stock file recognises, through the batch control system, the difference between Risk-Stock that you own, Stock the customer has paid for, and Stock the customer will pay for.
  • Consignment stocks. Material supplied by the customer to be combined into another operation, (e.g. direct mail enclosing, or fulfilment packaging).
  • Able to use finished stock as the raw material for another process. (e.g. overprinting, enclosing).
  • Able to raise a purchase order to the Finished Stock. (e.g. sub-contract printing for subsequent direct mail enclosing).
  • Kitting. A master file can link together the contents of any number of sub-files, sub-sub-files etc. into a single kit (e.g. a list of items to make up an enclosure, or a fulfilment package). The master file will show the whole picture at any time including over and under quantities of any sub-item.

Valuation of Finished Stock

Finished Stock may be valued from a number of standpoints to suit different customers' house requirements. Costs may be transferred from Work-in-Progress to Finished Stock and vice versa, in part or in whole, covering part deliveries, part manufacture and part invoicing. For example valuation may be based upon estimated or actual cost whichever is the highest.
