Sales and Marketing

This module is the front end of all the others. It holds the details for an unlimited number of Customers, Suspects and Prospects. At its simplest it supplies names and addresses to Estimating and Order Processing. At its most complex it records the Sales, Marketing, Estimating and Production history for every contact and via the Report Manager it supplies any number of performance related reports, using text and graphics.

Integration

Name and address or sub-name and sub-address and all related information integrate to Estimating, Order Processing, Delivery Notes and Invoices. All Estimates, Jobs, Invoice Values, Profit and Value Added figures automatically integrate back.

Main Features

  • Data may be mapped and imported from, or exported to, other proprietary systems.
  • There are both standard and user definable data fields.
  • Each record may hold unlimited numbers of sub-addresses, contacts, etc.
  • Allowable overs; Terms of payment; Standing instructions; Discount instructions; Budgeting and turn over details; Account ledger codes; EDI formats; Invoice formats; Language and foreign currency formats; Commission requirements; are just some of the special integrated fields.
  • Marketing Management Fields: Salesman; Market Sector; Geographic Area; Type of Customer or Type of Prospect, Turnover, Personal interest of the Buyer; are some of the available fields for market research reports and /or mailing list creation.
  • Contact Management: User definable Contact Standards. Unlimited number of notes may be kept defined by a contact standard, e.g. Phone calls, Visits, Comments, Complaints.
  • Estimates automatically convert to Jobs, but others may be recorded as lost with the reasons or current status.
  • All appointments, comments and follow-up arrangements made by salesmen may be logged. A Sales Director may use these records to note the weekly sales reports.

Drill Down

By looking up the Customer, filtering the list of jobs and clicking on any one, you will be able to see all the features of that job: the Estimate (Letter and Workings); the Works Instruction; the Production Schedule; the Cost Sheet: the related Purchases, Deliveries, Invoices, and Notes, and the full cost/estimate comparison, profit, added value, contribution etc. Full drill down is available on estimate; jobs; contacts; in fact anything in the history trail.

Linked Reports

  • Sales & Marketing contains a powerful tool for presenting statistical reports on any market related subject in Chart or Graph form automatically generated from user predefined formats.
  • These report formats are created within the Report and the Document Generators and are then linked to the Contact Management screen.
  • Through the function of Windows several reports may be displayed on screen at the same time.
  • The same screen that allows you to 'drill down' to the details of an individual job also accesses lists of all the permitted reports. It is as simple as two clicks on a mouse.

Marketing Management

All data input and viewing is through a single screen. The powerful 'query system' allows you to define the data required in any one report. The program holds the entire history of the Customer base, Salesmen, Market sectors, etc.

Mailing lists for use within Microsoft Word, Excel, or Imprint's Document Generator, etc. can be produced with ease.

Through the text and graphics of the Report Manager and theuse of the powerful 'query system' the recorded data allows for any amount of historical comparison and forward projection.

Customer Status

User driven customer status codes, e.g. prospect, hot prospect,live customer, on hold, stop, etc. may be set. These can be updated by the system automatically – a suspect can be updated to a prospect when its first estimate is created, a prospect can be advanced to a 'live' status when a job is accepted. Internal e-mails can be generated automatically to notify particular personnel of these changes of status. Inactivity can also be notified automatically, e.g. no contact for 30 days. The results are well-informed customer services/ sales personnel, totally 'on the ball' without depending on other people's memory.

Customer Service - Client awareness

A double click from the Imprint desk top gives a complete picture of a customer, including current status, jobs in progress, estimates, contacts and any special notes, complaints, etc. Apart from the obvious practical advantages, it imparts that confidence to the customer whilst talking/ communicating. Copies of any document can be quickly e-mailed or faxed; information such as success or failure of an estimate can be logged and transmitted to other personnel for further action.

Customer Tracking

The system can keep track of customer activity, automaticallynotifying selected personnel if turnover is falling below or going above that budgeted for that customer, or inactivity from that expected - giving you an opportunity to make contact with and sort out reasons for.

Customer Care

Special Notes can be entered against customers for different purposes, they can be automatically flagged as appropriate - when creating an estimate, contact management, inclusions within Works Instruction, e.g. pallet sizes or delivery acceptance times, special labelling, Delivery Notes or Invoice layouts. The customer is given a feeling that there is attention to detail: that you care.

Complaints

A complaints system keeps track of a variety of problems that can and do occur, including spoilage reprints and Credit Notes given. Working with the customer care features it can alert estimators and CSR's to prevent re-occurence, e.g. warning estimators of scratching problems - use a sealer or careful checking of file copies to production staff, etc.
